Your physician refers you to our office by sending the following:
Doctor-to-doctor referral
Insurance referral (if needed)
Patient's demo sheet
All medical records pertaining to diagnosis (including any MRIs, Imaging or Labs)
Last 2 visit notes
Our new patient scheduler receives your referral with medical records and requests more records/information, if needed.
Our scheduler sends your referral and records to the referred physician for review.
Once our physician approves the referral, you will receive a call to schedule your appointment.
New Patient FAQs:
Q: I was transferred to the New Patient Scheduling line. What information should I leave for a call back? A: We want to answer any questions or concerns you may have. When leaving a message for our new patient scheduler, please give the following information:
Name (or your name and the patient you're calling on behalf of)
Date of Birth
Call back number
Reason for calling (i.e. scheduling, questions or concerns)
If you leave a message and only have one piece of information we may not be able to pull up your records/referral, in which case you would not receive a call back.
Q: My insurance doesn't require a referral. Can I call to schedule an appointment? A: Although your insurance doesn't require an insurance referral, our practice requires a doctor-to-doctor referral. Patients are required to have all documentation sent prior to being scheduled.
Q: My PCP sent a referral for me to be seen. When should I call to schedule? A: We will call you to set up your appointment! Our referrals go through physician's review before being scheduled. Once our new patient scheduler receives approval from our doctors, she will give you a call to schedule. If you haven't received a call in 10-15 business days, call new patient scheduling at 512-218-1222 ext. 207
Q: My PCP sent a referral for me to be scheduled for a test (EMG/EEG). Do I count as an established patient? A: We would love to continue care with you. Unfortunately, your referral for testing does not qualify you for continual appointments with us. Ask your PCP to send a new doctor-to-doctor referral for your continued care. This must include your diagnosis and all records pertaining to your diagnosis. Q: I am an established patient, but I haven't been seen in a while. Can I schedule an appointment? A: If you haven't been seen by us in 3 years or more you will be considered a new patient. In this case, you will need a doctor-to-doctor referral and go through the new patient scheduling process. If you have been seen by us within 2 years or less, we can schedule a follow-up appointment for you for the same diagnosis.
Q: My doctor sent over a STAT referral to your office, why haven't I received a call yet? A: We don't take STAT referrals. However, we do have cancellation lists for patients to be added to. When making your appointment, ask the scheduler if you can be added to our waitlist. If you are experiencing pain or discomfort out of the ordinary, please go to the emergency room or follow-up with your PCP. Q: My doctor wants me to have an EEG and/or EMG test done. Should I call new patient scheduling to make the appointment? A: If you are not establishing care with our office and only scheduling a test, you would not be considered a new patient. Q: Can I see multiple neurologists at your location? A: Yes! In order to see multiple CTNC neurologists, separate referrals need to be sent for the different diagnosis, unless being referred within the practice. NOTE: If you are a patient of multiple CTNC neurologists, your may not see both doctors in one visit.
Q: I tried to fill out the New Patient Packet and General Neurology Questionnaire for my appointment, but am unable to save it online. Am I doing something wrong? A: Unfortunately, the required paperwork found on our website for your new patient appointment cannot be submitted or saved electronically. Please print and fill out the forms or come to your appointment early to fill it out in office. Ask the doctor's medical assistant for appropriate arrival time depending on which option you prefer.
